Debit Order Collection System

Debit Order Collection System
for South African Businesses

A debit order collection system is how South African businesses collect recurring payments — rent, subscriptions, membership fees, loan instalments, insurance premiums — directly and automatically from a customer's bank account, on a schedule the business controls. Instead of chasing invoices every month, the business sets up a mandate once and payments are collected on time, every time, without manual follow-up.

DebiPay's debit order collection system automates the entire process, from mandate creation to bank-level authentication, batch processing, settlement, and reconciliation — fully compliant with SARB and PASA regulation.

Innovating and empowering businesses with tailored solutions for success and growth. Innovating and empowering

A debit order collection system is software that automates the collection of recurring payments from customer bank accounts. It handles four things a business would otherwise do manually: capturing customer authorisation (a mandate), scheduling when payments run, submitting the batch to the banking network for processing, and reconciling which payments succeeded, failed, or were disputed.

In South Africa, every debit order runs through one of three collection instruments, each with different levels of authentication and dispute protection:

The Three Types of Debit Order Collections in South Africa

Collection Type
How It Works
Best For
DebiCheck
The customer electronically confirms the mandate with their own bank (via app, USSD, or online banking) before any money moves. Processed in the early morning window, right after salary runs.
High-value or high-risk recurring payments — insurance, loans, enterprise subscriptions — where dispute protection matters most.
Registered Mandate (RM)
The mandate is registered directly at the customer's bank, without requiring real-time customer authentication. Processed in the evening window, with credit-tracking to retry after insufficient funds.
High-value or high-risk recurring payments — insurance, loans, enterprise subscriptions — where dispute protection matters most.
EFT Debit Order
The traditional method — the business holds the mandate rather than the bank. Processed later in the batch cycle and more open to disputes than DebiCheck or RM.
Lower-risk, lower-value recurring collections, or as a legacy option.

Well-managed debit order systems — particularly those using DebiCheck authentication — routinely achieve significantly higher collection success rates than manual EFT, card, or cash payments, because the mandate is validated at bank level before the transaction is even attempted.

How it works

How Debit Order Collections Work

  • 1. Mandate creation.

The customer's details and payment authorisation are captured through a secure hosted form or your existing onboarding flow.

  • 2. Bank confirmation (where applicable)

For DebiCheck, the customer's bank sends a request for the customer to confirm the mandate electronically. For RM and EFT, the mandate is registered or held without this step.

  • 3. Scheduling

You set how often and when payments should run — weekly, monthly, or on a custom schedule tied to your customers' pay cycles.

  • 4. Batch processing

On the scheduled date, DebiPay submits the batch to the relevant banking network for collection.

  • 5. Settlement and reconciliation

Successful payments are settled into your account, and every transaction — successful, failed, or disputed — is matched back to the original mandate and made available in your reporting dashboard.

FAQS

Questions about DebiPay,
Debit Order System

What is a debit order collection system?

A debit order collection system is a platform that automates collecting recurring payments directly from a customer's bank account, based on a signed or bank-confirmed mandate, without requiring the customer to manually pay each time.

What's the difference between DebiCheck, Registered Mandate, and EFT debit orders?

DebiCheck requires the customer to electronically confirm the mandate with their own bank before collection, giving the strongest dispute protection. Registered Mandate is registered at the bank without real-time customer confirmation. EFT debit orders are held by the business itself rather than the bank, and carry the highest dispute risk of the three.

How much does a debit order collection system cost?

DebiPay's plans start from R325 per month plus a per-transaction fee, with pricing scaling by transaction volume and features. See full pricing.

Can I integrate a DebiPay debit order system with my own system?
